Working with Project Data

Project data lists information about Workfront projects. Project data for active Workfront projects is automatically imported twice each day (6:00 am and 6:00 pm MST). When you add an asset, the Job field displays the items from the Project Data list so you can tie an asset to a Workfront project. Although Nuxeo only collects project information automatically, you can add other Workfront reference numbers, such as a billing project or task.

Viewing Project Data

Because the metadata comes from Workfront, you cannot edit the data. If there is an error, it will need to be fixed in Workfront. For explanations of the metadata fields, see Project Metadata.

  1. On the left-side, click the Browse () icon.

  2. Click Domain.

  3. Click Master Data.

  4. Click Project Data. A list of project items from Workfront will appear.

  5. Find and select the project item you want to view. The metadata for that item will be displayed.

    • If desired, on the right, click the gear (Gear icon) icon to change the column headers (or metadata) to view in the list. Check or uncheck the items you want to view and click Close. Tip: To have more space to view project names, uncheck some columns to view a longer title.
    • You can click a column arrow (Column arrow) to resort the list in either ascending or descending order.
    • You can filter the list by selecting or entering a search term in a column header. Note: For titles or names, enter the first few letters, such as Jon for Jonathan or Joni.

Adding and Synchronizing a Project or Task

If needed, you can add a Workfront reference number, such as for a billing project or task and manually pull the metadata from Workfront for that item. The item will then appear in the Project Data list so you can select it in the Job metadata field for an asset.

  1. In the Project Data folder, at the bottom right, click the Add Content (Add Content icon) icon or press “c” (for Create) on the keyboard.
  2. Select the Job () icon. The window will display the location where the folder will be added and the metadata fields.
  3. Enter the Job ID (Workfront Reference number) for the item you want to add. Note: The system automatically checks, and if it does not match a current Workfront number, a message will appear so you can recheck the number you entered.
  4. Select the WorkFront Type from the drop-down list: PROJ, TASK.
  5. Select the Job Type from the drop-down list: Billing Project, Deliverable Project, Job Ticket, Project, Shoot, Standard Fixed-Bid, Standard Time & Material.
    • Billing Project: A billing project is often used for large productions with several projects under it. The billing project number in Workfront is located on the Project Details tab, Custom Forms sub-tab, Project Information section and labeled "Project to be billed." Only enter the number, not "PRJ."
    • Deliverable Project: This is a project with a deliverable product.
    • Job Ticket: This is usually used for items created using a "Production House" (a group that specializes in a specific output, such as print production or photography).
    • Project: The project number in Workfront is located on the Project Details tab, Overview sub-tab and labeled "Reference number."
    • Shoot: This is a task reference number, usually added for photography, video, or film production, found in Workfront on the task details page at the bottom of the right-side Assigned To panel.
    • Standard Fixed-Bid: This refers to a project using a fixed bid.
    • Standard Time & Material: This refers to a project using time and material costs (no fixed bids).
  1. Click Create. The item will be added to the Project Data list.
  2. Find the item in the list, and click it to view the details.
  3. At the top, click the Synchronize () icon. This will manually update the Workfront information for that item.
