This section contains definitions and examples to help you understand rights management metadata.

Field Description Example
Available for All Depts A check box to indicate availability to all departments.  
Available for PSD A check box to indicate availability to the Publishing Services Department.  
Certificate Number The product or Visual Identify Office (VIO) approval certification number.  
Contract Number The number assigned to a contract in the Rights Management System (RMS).  
Contributors This is supplied by Nuxeo and usually lists anyone who worked on an item. Because the information is imported from the RMS database, it will show "system." system
Copyright Year The year this item was copyrighted. 1980
Created by Lists the Nuxeo username of the person who input this item. Because the information is imported from the RMS database, it will show "system." sysem

Credit Line The text that must appear with a published asset, to indicate who created this item. Created by Bonneville Communications
IP Code A number assigned to an asset to indicate its usability based on copyright laws and contracts. For a definition of IP codes, see IP Codes. 0, 1, 4
IP Documents A copy of the contract or an Intellectual Property Rights Assessment (IPRA; or a legal assessment of copyright use).

Reporting Statement A reporting statement (RS) is an accepted guideline associated with an IP code, such as screen shots or graphics used in a product. For a list of reporting statements and their definitions and guidelines, see Reporting Statements. RS-FTE
Restriction A restriction usually indicates that an asset may only be used for a specific purpose or for a limited time. For any restrictions, the department must contact Devin Larry Smith. He forwards the requests to Mike Card in Correlation to approve. Restrictions usually list a description, the type of restriction, and a review date. Rights Status

The status of a rights management item. The status varies depending on whether it is a contract, reporting statement, submission (deliverable) or VIO certification.

  • Contract: Dept Review, Draft, In Review, On Hold, Pending, Signed, Submitted, Void
  • Reporting Statement: Active, Not Active
  • Submission: Certified, Certified Pending Audit, Certified Pending IP, Certified with Limits, Declined, Dept Review, Draft, Not Certified, Submitted
  • VIO Certification: Active, Not Active

RMS Agreement ID The ID and URL to the RMS contract record. Right-click and select "Open link in new tab," sign in, and the RMS contract record will appear.  
RMS Type The type of rights management item. Standard contract, Submission (Deliverable), VIO Certification
Security Classification A classification for how secure this item should be. For example, temple dedication videos are “Restricted.” Public, Internal, Confidential, Restricted
Series The series a product belongs to, if applicable. Temple Square Performances
Sponsoring Department The Church department or entity who sponsored or paid for this asset’s creation. Asia North, Brigham Young University-Idaho, Family History Department
Status (Nuxeo) The Nuxeo status for this item. Active
Storyline The scripture storyline for a product, if applicable. Lehi's Vision of the Tree of Life
Title The name of the asset or associated product.  
Usage Guidelines Any contracted guidelines on the use of an asset or product.  
Version
The version of this item (depending upon updates from RMS).
